Inventory
Shopify importer: catalog, stock and history
The step-by-step wizard to import catalog, stock and order history from Shopify in one go: you decide the branch per warehouse, simulate before writing, give each product a destination and can roll back.
The Shopify importer (Inventory › Import from Shopify) is the only wizard to bring catalog and stock into TCG Field. It's an owner wizard: it guides you through the connection, the catalog extraction, the branch decisions, the simulation, the pending items, the application and —if you need it— the rollback. The simulation does not change your products, prices or stock. If it is waiting because the system is busy, it will start automatically when available. Waiting does not lose progress or require you to press the button again. Applying the approved simulation imports catalog and stock. Transfers or corrections of previously imported stock have their own confirmation. Afterwards, if Shopify is still your online store, use the sync as the ongoing operation on products that are already linked. While the summary loads you will see “Calculating pending items…”; approval appears only with valid data. If the request fails, use Retry to load it again.
Only active variants with positive stock in at least one warehouse are staged and processed. Out-of-stock variants do not enter Pending, even when already linked: stock changes to zero on linked products are handled by the sync. Cards already exist in the base catalog. Each extraction accepts up to 25,000 stocked variants, staging and resolving in batches of 500 and applying in batches of 100. Only one import job may be active per store. Failed/closed runs and older extractor snapshots do not offer Resume: start a new import.
Branches and warehouses: you decide what comes in
Shopify keeps your stock in warehouses (locations); TCG Field has your branches. In the Branches and warehouses step the wizard asks you, for each warehouse, What do you want to do with the warehouse…? and shows its address and how many variants and units it has, so you can tell them apart. You can link it to a branch you already have, create a new branch in TCG Field (the name and address come prefilled from Shopify and it's created the same way as on the branches screen) or not bring it over. When you link it, you choose the branch on that same screen: the selector starts at «Choose a branch», even if you have only one, and nothing is saved until you choose. If you had saved a destination before, it shows below as «Saved: …» so you can confirm it with Confirm … or choose another; it is never applied without you seeing it. If you change anything, save the step before simulating: the wizard won't let you move on with unsaved links. If you bring it, you answer Bring its stock over?: with «No, just link it» the warehouse stays as a reference and its units don't go into your inventory. The simulation tells you exactly how many units are left out. If two or more warehouses bring their stock to the same branch, their units are added up in that branch: the step says so with the names («The stock from Warehouse and Shop location will be added up in Main Store») and the simulation shows the total. If a warehouse is called «Shop location», it's usually the store's first warehouse, with the name Shopify gave it and that was never changed; you can rename it in Shopify, under Settings › Locations. Clicking Save and continue saves the associations and creates any new branches you chose. This step does not move or import stock.
Simulate, review, apply and roll back
- Extract asks Shopify for a snapshot of your active products with stock. With a large catalog Shopify may take several minutes to prepare the file: the wizard shows the stage, the progress and the estimated time, and you can leave the page because it keeps running in the background. When it finishes you see how many products, versions with stock, stock (units) and warehouses it found. A version is each way a product sells separately (a variant): the same card in Near Mint and in Lightly Played are two versions. It does not change products, prices or stock.
- Simulate looks up each variant in the TCG Field catalog and compares it with your current stock, also in the background and with its progress. The report shows the matched variants, the ones that still have no destination with their reason, the units by game and by language, and the stock that comes in and the stock left out. If something fails, the step tells you the cause and offers Retry. The wizard always moves forward in order, one step at a time, with the single button at the bottom right: here it is Simulate import and then Continue, which leads to Pending; See pending products opens their detail by reason in a window, without changing step. Approving the simulation happens in Pending, and applying it in the next step. If it stops during catalog lookup, Retry continues from the last saved batch. Changing store values or choosing Search the catalog again starts a new lookup.
- Pending groups products without a destination. You can choose a destination or press Continue with resolved products at the bottom right. If any remain, confirmation says exactly how many will be left out. View first group without a destination remains a secondary action to open and focus the group.
- Apply writes products, links and stock according to the approved simulation. Cards that match the catalog always get your TCG Field pricing rule's price; the Shopify price isn't imported. If your own product is later corroborated with a catalog printing, it keeps its own name and stock, but its price also moves to your rule. You press it only once, with explicit confirmation, and the wizard takes you to the Application step: the full import runs in the background, with its stage and progress, and you can keep using the panel; a bar below the top bar shows how far along it is and, when it finishes, a notice takes you to the result. If it's interrupted (for example, during a system update), it resumes on its own where it left off, without duplicating anything.
- Application errors: the variants that couldn't be imported appear grouped by reason, with what happened and how to resolve it. If a card can't be sold in your store, the details say why (for example, that its game isn't active in Settings › Games). Momentary drops are retried automatically.
- Roll back attempts to undo this import and archive products it created. Changes with later activity are retained and reported when finished.
Pending: a destination for each product
To import a Shopify variant, choose a destination: a catalog card, your store's own product or Don't bring. The meter at the top shows how many matched the catalog, how many come in as your own product, how many you don't bring over and how many are still without a destination. Pending items are grouped by reason, 25 per page, and each row states the specific problem with what we read from Shopify: for example, «We read the set «PLIST»; our catalog doesn't have that code» or «We didn't understand the condition «Played»». Each row has a main action and the rest in its «⋯» menu. In Check whether these are cards, sealed products or accessories, Shopify does not identify the product as a single card: this does not establish that it is sealed or an accessory. If it is a card, open Show cards and choose ⋯ → Choose card; sealed products or accessories can be brought as your own products.
- Choose card opens the catalog next to what Shopify says (title, option, price). You search by name in English or Spanish, by set code or by number, and choose the exact printing and its condition, language and finish. If the same Shopify product has other variants without a destination, you can use that card for all of them at once.
- Create as own product brings the variant over as a product of your store, with Shopify's title, SKU, price and stock, without touching the TCG Field catalog. It's published if it had a price and stock in Shopify; otherwise, it stays as a draft. If an exact printing can be corroborated later, the product and its stock stay your own, but the price starts being calculated with your rule. To give that destination to everything left at once, use Bring what is left as own products in the «⋯» menu below (it asks you to confirm).
- Don't bring leaves the variant out of the import: nothing is created and, if it was already linked from a previous import, it stays as it is.
- Resolve conflict appears when the stock of an already imported variant changed in Shopify and in your store at the same time: you choose whether to keep your stock or use Shopify's.
- Keep existing product preserves the own product this variant is already linked to. It does not create another product or convert it into a catalog card.
- Correct previous finish appears after you choose another finish of the same previously imported card, condition and language. Confirmation shows both finishes and the units: accepting changes the link and moves that stock into the correct variant, without changing the total or Shopify. It only permits unchanged imported stock without reservations or identified units, an exclusive link and an empty destination. Shared or changed stock needs inventory review first. The correction applies on confirmation and withdraws the old approval; wait for the refreshed simulation.
In Choose card, printings in your row’s language appear first with their own photo. Choosing a suggestion preserves that language. If the catalog lacks that version in your language, the screen says so; using an alternative requires explicit confirmation of the language change. That alternative applies only to the row being reviewed.
The simulation checks that the card exists in the copy’s language with its own image. Otherwise, it stays in Pending before approval: open Choose card to review the notice and alternatives. Changing its language or bringing it as your own product requires your explicit choice.
If a previous import’s destination no longer exists, applying recovers it with a new destination. The replacement, its stock and its history record are saved together. Retrying an already applied row does not add its stock again.
In Your store's values you say once what a word in your store means —for example, that «Played» is MP or LP, the condition and language when Shopify doesn't say them, or the code you use for a set— and it applies to every row that has it. TCG Field doesn't decide that for you: if you leave it in Pending, those rows wait for your decision. What you assign leaves Assign Shopify texts and stays only in Your saved values; the notification offers «Undo», and «Remove» brings it back to the list. A set code the catalog already has is recognized whatever its case, so it never shows up to assign.
If your Shopify store uses BinderPOS, TCG Field detects it on its own and reads its products in BinderPOS's format: the set in brackets in the title, and the set code, number, language and finish in the SKU. BinderPOS writes «NM/LP» and «PLAYED», which join two conditions, and «Foreign» for copies in another language without saying which. Those texts appear in Your store's values so you choose once what they mean; until then, those rows wait in Pending.
What you decide is saved: it applies to the next simulation and also to the next import from Shopify. Deciding doesn't simulate again or reload the page: the rows you decide update at once and you can keep deciding. When you press Approve simulation, the wizard simulates once more with all your decisions, approves it and moves on. If you later change that product in Shopify (title, SKU or options), it goes back to Pending for you to decide again. In Decided by you, you can change any decision before approving, and Search the catalog again (in the «⋯» menu) searches all the products again, for example if the catalog added new cards.
Resolve Pending with Excel
If there are many rows, open the «⋯» menu below and use Download Excel. The file includes each variant's ID, what Shopify said, the reason and the candidates for reference. Fill in Acción with Calzar, Producto propio or No traer (the file's values are in Spanish). To match, fill in game, name (in English or Spanish), set, number, language, condition and finish; the card ID is optional. Then use Upload Excel and review the preview before saving.
AI match proposals
In the No match group, Find matches with AI looks for up to 20 candidate cards per variant and shows you a proposal. It works in the background: while it searches, the button says Finding matches… and the group shows how many variants it has reviewed; when it finishes it tells you how many it reviewed, how many got a proposed card and how many it verified, or that it found no matches. If the included suggestions run out or the search fails, the group explains it. It says Verified only if the name, set and number match; the rest stay as a Suggestion. The proposal doesn't import or link anything: open Choose card, check the printing, condition, language and finish, and confirm the destination yourself. Until you confirm it, the row stays without a destination and is left out if you continue with resolved products. The assistant only receives the product's title, option and SKU along with the catalog candidates; it never receives customers or orders. It's included up to your store's limit.
History: customers and orders
The last step is optional. Read Shopify history reads historical customers and orders; then you can simulate and apply their import. If there are no records, the wizard explains this and offers Return to inventory. Link each delivery place to a pickup point and review the aggregated report: order numbering, statuses, refunds and credit. You only see totals —never personal data— and rollback is also available.
Import again while keeping previous destinations
If a new simulation leaves many rows in review, first check whether you imported them before. Choose where stock will stay means a warehouse now points to another branch: existing stock is never moved automatically. In the warehouse group in Pending, review the displayed associations and use Keep them in the previous branch for all rows. Changing these associations does not move stock already imported. In Keep cards already imported, Keep the cards in my store (recommended) replaces conflicting decisions with the card, condition, finish and language each product currently uses, without changing the product or its stock. One click saves the choice for all cards in the group. If an existing link is no longer valid in that finish or language, it stays separately under Review the chosen destination: review its destination individually. That card does not block keeping the others, and its language or finish never changes automatically. Wait for the new simulation and review any remaining rows before approving. Unlinked rows and stock conflicts still need review. If previous imports used incompatible associations, bulk recovery is unavailable: review Branches and warehouses. To take stock to the new branch, choose Move them to …. Preview shows current available, reserved or held stock and units missing after sales or adjustments. Only confirmation moves available stock; the remainder stays in Some stock still needs to be transferred with its reason. Old Shopify quantities are never recreated. Review another transfer after a reservation is released; Don't bring excludes a card and keeps its existing stock. Mixed warehouses or multiple source variants sharing stock need separate review. Review the new simulation before approving. This group does not mean the title and SKU name different cards: an earlier choice may be trying to replace cards already in your store. A real example from your catalog shows the current card. Conflicting title, set, number or SKU data stays in Review which card belongs here. For an older run, update the simulation to see the separate groups. Neither the SKU nor products outside the catalog are selected automatically.
If you chose Don't bring by mistake, open Cards you chose to exclude → View and press Undo exclusion on that card. If you exclude a whole group, the same section lets you review excluded cards. When an update requires a new simulation, go back to Pending and press Approve simulation: it simulates again without another Shopify extraction.
A Shopify title that says «(JP Alternate Art)» is read as Japanese even when the option says English, because that version is printed only in Japanese. If a language is unavailable for that version in the catalog, the group offers Import as English for real English versions of the same set, number and finish, or Leave out. Confirm the number of variants before saving; those without an English destination stay pending. If the language exists but the catalog has no photo of its own, the copy is imported anyway and the product page says the photo is a reference one. If stock was already linked in another language, use Correct languages in a batch under Review the chosen destination. Confirmation lists up to 20 variants with their languages and units. Each card keeps its stock checks; rejected cards remain pending with a reason while the others are corrected. The simulation recalculates once after the batch. For one card, choose Correct previous language. Confirm both languages and the units. Only unchanged stock without reservations or identified units moves into an empty variant of the same card, condition and finish. Review the refreshed simulation before approving.
If a correction cannot be completed, the card stays in Pending with the reason for that attempt: stock at the destination, a shared link, changed inventory, reservations or individually identified units. Stock is not combined and links are not replaced automatically. Continue with the other cards and review the rejected one later. Its reason survives reloading and another simulation; it disappears when you choose a different destination or complete the correction.
Close with products left out
After resolved products finish applying, press Close import. Confirmation says how many products remain out, including application errors and products you chose not to bring. Closing keeps their source data and reasons; it does not change their stock or select destinations for them. Download products not imported stays available on the result and in Import history on the first step, including after closing. During download, you will see «Creating your spreadsheet…», followed by a notice to check your browser’s saved files. It contains every product not yet applied at that moment; before application it can include the whole catalog. To get only the products left out, download it after application finishes.
The Excel includes one row per source variant, its reason, title, option, SKU, language, condition, finish, source price, stock by warehouse and original source data. Fill source and source_ref with the right printing’s source and source identifier (the printing ID in the specified source) and review condition, finish and quantity before uploading through Import from file. Choose a branch and review the preview. For several warehouses, prepare one file per branch using the quantities shown. For own products, create them in Products or correct Shopify and run a new import. Closing does not turn identity or branch conflicts into a decision.
